In real estate, everyone has the same portfolio. Three offices list the same apartment, the same photos appear side by side on the same listing site. The only thing that makes a difference is how the portfolio is presented and where the customer finds you.
At Baksoft, we develop systems for real estate offices where the portfolio is presented under your own brand, managed on a consultant and branch basis, and directly attracts buyers from search engines.
Dependency on listing sites
Listing sites bring business, there's no denying that. But when they are the only channel, three problems arise.
First, your portfolio is listed on the same page, in the same template, and with the same appearance as your competitors' portfolios. The way you present a three-million-dollar villa is exactly the same as a two-plus-one rental apartment. If you're selling a premium portfolio, this is a direct loss of sales.
Second, the buyer finds the listing, not you. They like the listing and call, and if the deal is done, they won't remember your name. You can't build a brand.
Third, the rules and prices are not in your hands. Showcase fees increase, you take doping, listing rules change, and there's nothing you can do.
The right approach is not to abandon listing sites but to establish your own channel alongside them. Listing sites bring new buyers, your own site builds your brand and repeat customers.
A premium portfolio requires a different presentation
High-budget buyers choose their investment from a presentation, not a listing line. Large and fast-loading images, virtual tours, floor plans, neighborhood and transportation information, project details, and a fluent narrative are required.
Ready-made real estate themes can't handle this. The gallery works with compressed images, the page loads slowly, and it breaks on mobile. In a system developed from scratch, each portfolio is designed like its own promotional page. Custom page templates are defined for villas or projects, and the sales team sends the link of this page directly to the buyer.
If you're selling to foreign buyers, a multilingual structure is crucial here. The portfolio description, neighborhood information, and contact form work in the buyer's language, not just with a translation plugin.
Growing and franchising offices
When the office works with a single consultant, portfolio tracking is done with Excel. When the second and third consultants come, things get complicated. Which portfolio belongs to whom, who talked to which buyer, who will handle the incoming request, who gets the commission.
The system solves these questions from the start. Each portfolio has a defined consultant owner, incoming requests are automatically assigned to the relevant consultant, and the report shows how many portfolios each consultant brought in and how many sales they closed.
When you move to a branch or franchise structure, each office has its own subpage, team, and portfolio. The headquarters sees the performance of all offices from a single panel. Offices don't set up separate sites, brand integrity is maintained, and adding a new office to the system takes just a few minutes.
If you're considering franchising, this structure is your sales argument itself. What you transfer to the new franchisee is not just the brand but a ready-to-use portfolio and demand management system.
Attracting buyers from search engines
Search behavior in real estate is very clear. People don't search for office names, they search for areas and types. "Konyaaltı apartment for sale", "Lara sea-view villa", "Antalya investment land", etc.
The system is built according to this logic. Separate landing pages are created for each region, project, and portfolio type. Each listing page automatically gets its own title, description, and structured data markup, increasing the chance of appearing in search results with rich snippets showing price and location.
When regional guide content is added, the results become even stronger. Someone considering living in an area first researches that area. The content you write about schools, transportation, site life, and price trends brings that person to your portfolio.
What's in the system?
Portfolio management
Listing entry, photo upload, status updates, and batch processing. Sold portfolios are archived but not deleted, they can be displayed as references. Price history is maintained.
Search and filtering
Filtering by location, price range, number of rooms, square meters, floor, heating type, furniture status, and special tags. Searching on the map and scanning portfolios by drawing an area.
Demand management
Every request from the site is recorded, assigned to the relevant consultant, and tracked. If the buyer's criteria are saved, automatic matching is suggested for new suitable portfolios.
Consultant and branch management
Each consultant has their own profile page, portfolio list, and contact information. Authorization is role-based, consultants can only edit their own portfolios.
External feed
Your portfolio can be fed to listing sites in XML format. You enter data in one place, and the listing sites take the update themselves. No more entering the same listing in three different places.
Reporting
Portfolio-based views and request numbers, consultant performance, regional interest distribution. You can spot which portfolio is not getting attention early and make pricing or presentation decisions based on data.
How does the process work?
First, we discuss your workflow. How many consultants do you work with, how do you track portfolios, who handles requests, which regions are you strong in. Then we clarify the page structure and panel setup and provide a fixed-price quote.
At delivery, we transfer your existing portfolio to the system, open consultant accounts, and provide training to your team. If you have a plan to transition to a franchise structure, we set up the system accordingly from the start, no need to dismantle and reassemble later.
How is the price determined?
The price is determined project-based on portfolio volume, number of consultants and branches, number of languages, and optional modules, and is fixed from the start. We don't charge per portfolio or per consultant monthly, so your costs don't multiply as your office grows. The initial meeting and scope study are free.
Frequently asked questions
Do we need to leave listing sites? No. The system works alongside them, feeding your portfolio via XML. The goal is not to be dependent on a single channel.
Can our existing portfolio be transferred? Yes. The lists and photos you have are transferred to the system. We can also import your portfolio from listing sites in bulk.
Can consultants enter their own listings? Yes. Each consultant has their own account and can only edit their own portfolios. If you want central pre-publication approval, that flow can also be set up.
What happens when we open a new branch? The new office and team are defined in the system, and their subpage is created. No need to set up a separate site.
We sell to foreign buyers, is it suitable? Yes. Portfolio descriptions, filters, and forms work in multiple languages, and prices can be shown in different currencies.
Will the site belong to us? Yes. The domain, code, and all data are yours. You can export your portfolio data whenever you want.
If you want to present your portfolio under your own brand and reduce dependency on listing sites, let's first discuss how your office works. Tell us your number of consultants, portfolio volume, and goals, and let's figure out the right scope and a clear price together.
